2. Data we process
Depending on how you use it, Voice Notes processes audio files; recording duration and time; selected language and template; transcript segments; speaker names you assign; highlights; edits; summaries; tasks; events; flashcards; mind maps; search queries; exports and shares. Contact details are processed only if you expressly assign them to a person or follow-up. Named voice samples are a separate, particularly sensitive type of data and are not transmitted for speaker recognition without additional express consent.
3. Purposes, legal bases and genuine choice
Local recording, playback, editing, search and export provide the feature you select (Article 6(1)(b) GDPR). Optional transmission of a text transcript to Anthropic for structuring or answering questions, and optional transmission of audio to OpenAI for cloud transcription or speaker separation, take place only after separate consent that is not preselected (Article 6(1)(a) GDPR). If you decline, local transcription remains available. A named voice sample for unique speaker recognition may be processed only after separate express consent and, where Article 9 GDPR applies, on the basis of a permitted exception. Consent can be withdrawn for the future.
4. Recipients and third-country transfers
Audecius uses Supabase for account and database features. Anthropic receives transcript text or OpenAI receives audio only if you enable the respective option. Apple processes data for operating-system, iCloud and App Store features according to your device configuration. Processing outside the EEA requires a valid transfer basis and supplementary safeguards. The final list of providers, locations, subprocessors and transfers must be reviewed before publication and kept current in the general Privacy Policy.
5. Protection and retention
Recordings, transcripts, voice samples and the local agreement record are stored on the device with complete iOS file protection. Local content is generally retained until you delete it, remove app data or expressly select synchronisation that provides a different, transparent period. Shared Space content remains until an authorised person deletes it or the Space is deleted. Records may be retained until relevant limitation periods expire to meet accountability duties or defend legal claims. Specific provider periods must be reviewed contractually before publication.
7. Voices and data of other people
You may record, import, transcribe, name or share only where you are legally authorised to do so. Clearly inform participants about the recording, purposes, recipients and optional AI processing and obtain required consent before starting. Covert or unlawful recordings, biometric identification without a legal basis and uploading another person's confidential content are prohibited. Clarity does not replace your assessment of applicable law.
8. AI output and automated decisions
Transcription and AI analysis may misstate names, speakers, data, quotations or context. Source references help with review but do not replace it. Do not use Voice Notes as the sole basis for emergencies or medical, legal, financial, educational or other consequential decisions. Voice Notes does not make solely automated decisions that produce legal or similarly significant effects within the meaning of Article 22 GDPR.
9. Your rights
Under the GDPR, you have in particular rights of access, rectification, erasure, restriction, data portability and objection. You may withdraw consent for the future in Voice Notes settings or through support@audeciusofficial.com. You may complain in particular to the State Commissioner for Data Protection and Freedom of Information of Rhineland-Palatinate, Hintere Bleiche 34, 55116 Mainz, poststelle@datenschutz.rlp.de; your right to contact another competent supervisory authority remains unaffected. For minors, the age limits and consents required in the relevant country must be observed.
